Department Committee coordinators selection

  • The institutional coordinator requests the HOD’s of all technical departments to allot two faculties from their respective departments as department alumni coordinators; only one faculty shall be allotted from the department of Civil engineering.
  • The HOD’s of respective departments allot the responsibility of department alumni coordinators during the first department meeting before commencement of the academic year.
  • If an alumnus has joined the department as a faculty, he/she shall be allocated the responsibility.
  • The HOD’s of all technical departments communicate the department alumni coordinators details to the institutional alumni coordinator.

Preparation of Committee Perspective plan

  • The Institutional Alumni coordinator conveys a meeting at the beginning of the academic coordinator through a circular to prepare the committee perspective plan.
  • The department coordinators suggest the names of alumni who shall be invited for alumni address or talk to the final/ pre-final year students of the respective departments in consultation with the HOD.

 Arranging alumni talk

  • The department alumni coordinators can finalize the date of the alumni talk in consultation with the concerned alumni.
  • Once the date is finalized the same can be conveyed to the HOD and Institutional alumni coordinator.
  • An invitation/circular may be prepared and mailed to the alumni, target audience, HOD’s of all departments and faculty of the concerned department.
  • The alumni shall be presented with a college memento, a t-shirt of our college and a copy of our annual magazine.
  • A report of the talk shall be prepared and shared with all concerned such as Principal, HOD’s, Institutional alumni coordinator, webmaster, social SMVITM, Institutional Information coordinator.

When an alumni visits the institution

  • The office staff of all departments is instructed to see to it that a register is maintained to enter the details of alumni department visit.
  • The alumni shall be informed to meet the concerned department alumni coordinators.
  • The alumni coordinators shall collect the required information from the alumni such as work information details.

 Alumni feedback

  • The feedback regarding curriculum /institution is collected after one year of graduation.
  • The feedback forms are mailed to the alumni after a year of completion of graduation.
  • The feedback forms shall also be filled when an alumni visits the institution.

 

  1. Conduction of alumni meet
  • The Instituional coordinator shall be the main coordinator of the event to organize the Alumni meet at or outside the institution.
  • The department coordinators shall be the committee coordinators for inviting, registration, event management, food, report preparation.
  • The support of the alumni association members or active and volunteer alumni is taken in the required areas.
  • The invitation and registration forms shall be mailed, made available through social media platforms and also be published in the website.
  • The confirmation of the registration shall be obtained as soon as the alumnus registers.
  • The event shall be hosted by the institution or jointly hosted with the alumnus.
  • The report of the event shall be prepared and mailed to the Institutional coordinator, HOD’s of all departments, Principal, webmaster, social SMVITM, institutional information coorodinator and also sent for publication through news papers.
